Full-Time Executive Assistant

Job Description
A non-profit organization is seeking an Executive Assistant to provide comprehensive administrative support and manage multiple tasks and responsibilities in a fast-paced environment. Work hours are Tuesday through Friday from 10 a.m. to 6 p.m.
Job Responsibilities:
- Coordinate and manage executive calendar, schedule meetings, appointments, and travel arrangements
- Serve as the primary point of contact for the CEO, handle inquiries, and direct them to the appropriate parties
- Draft, edit, and proofread emails, reports, and other documents
- Screen and direct phone calls, take messages, and handle inquiries with professionalism
- Use Microsoft Office Suite, Outlook, Adobe Acrobat, DocuSign, with strong knowledge of Zoom
- Create graphs, columns, and formulas using Microsoft Excel
- Arrange and prepare materials for meetings, conferences, and presentation, coordinate logistics, room set-up, catering, and technology requirements
- Organize and coordinate board meetings, prepare agendas, materials, and minutes
- Act as a liaison between the CEO, Board of Directors, senior management, staff, donors and external partners
- Plan and book travel itineraries, accommodations, and transportation for CEO
- Organize and maintain electronic and paper files, ensuring efficient document retrieval
- Manage and maintain confidential information and documents with the utmost discretion
- Provide general administrative support to the CEO, expense reports, invoice processing, and other tasks
- Assist in special projects and initiatives led by the CEO, track progress, and ensure deadlines are met
- Prioritize and redirect matters appropriately
- Perform other duties as assigned
Job Qualifications:
- Must have a High School Diploma or GED; Bachelor’s degree is preferred
- A minimum of 2 years experience in the social services or mental health service is needed
- Provide copies of all certificates to comply with state and federal regulatory boards
- Must be able to anticipate and address issues before they arise, handle unexpected challenges, and solve problems proactively
- Must be proficient in Microsoft Office Suite, Outlook, Adobe Acrobat, DocuSign, with strong knowledge of Zoom
- Must have excellent Excel skills to create graphs, columns, and formulas
- Must be able to coordinate and manage executive calendar, including scheduling meetings appointments, and travel arrangements
- Must have exceptional communication, organizational, interpersonal, and time management skills
- Must be detail-oriented, highly adaptive, able to thrive in a dynamic work environment, and meet deadlines
- Must uphold a positive and polished image while serving as a primary point of contact for internal and external stakeholders and contacts
- Must have the ability to prioritize and optimize daily schedules
- Must be able to handle sensitive information with confidentiality and discretion
- Must have a strong work ethic and commitment
- Must have a valid Ohio Driver’s License with reliable transportation and valid and current auto insurance
Only candidates that can pass a background check and drug screen will be considered.
$25 to $28/hr., based on experience
