Full-Time Administrative Specialist
Job Description
A local firm is seeking an Administrative Specialist to provide support to Supporting Foundations Managers, the Foundation Advisory Committee, all activities of Supporting Foundations, and administrative support for multiple professional staff in the areas of supporting foundations and family philanthropy. Work hours are Monday through Friday from 8:30 a.m. to 5 p.m.
Responsibilities:
- Manage a portfolio of Supporting Foundations and work in partnership with managers to ensure seamless meetings and donor relations
- Assist with scheduling and preparing for pre and annual meetings
- Prepare various business correspondences, letters, grant reports, and manage corporate and governance records
- Meticulously proofread content to ensure accuracy
- Create and maintain grant records in multiple data systems, including grant payments, payables and grant terms
- Use grant database to run reports, and sort by date, grantee, purpose etc.
- Work closely and collaboratively with Finance department and track and organize Supporting Foundation grant applications, agreements, and reports
- Operate with team spirit and can-do attitude as part of a collective effort for excellence and support the cultivation of a culture of philanthropy within the organization
- Conduct research on prospective grantees and trouble shoot where necessary
- Update donor information in Customer Relationship Management (CRM) system
- Sort, route, and distribute mail ensuring that documents requiring signatures are turned around in a timely fashion
- Perform special projects as needed
Qualifications:
- Must have a High school diploma or GED; Associates Degree is preferred
- Strong knowledge of the Microsoft Office Suite, including Outlook, Excel, and PowerPoint is needed
- Must have proven experience working with enterprise database applications including Customer or Donor Relationship Management (CRM) Software, with the ability to learn new software
- Must have well-developed customer services skills exercising poise, tact, and diplomacy, with exceptional telephone etiquette
- Must have strong project management skills with the ability to partner with colleagues in a professional and collaborative manner
- Must have excellent verbal communication skills and ability to actively listen
- Must be detail-oriented, organized, accountable, deadline-driven, and solution focused
- Effective team player with the ability to work collaboratively with others is required
- Must be able to handle confidential information and use discretion and good judgment
